Many small businesses assume network security is something only banks and large corporations worry about. In reality, a typical office has payment terminals, customer records, accounting software, CCTV and staff phones all sharing one connection — and a single weak point can expose all of it. The good news is that most of the protection comes from a handful of basics that cost little or nothing.
1. Change every default password
Routers, switches, CCTV recorders and access points often ship with well-known default logins. Change the admin password on every device the day it is installed, and use a different one for each. A password manager or a securely stored written list kept by the owner is far better than leaving “admin” in place.
2. Separate staff, guests and devices
Customers and visitors should never be on the same network as your office computers. Set up a separate guest WiFi, and where possible keep CCTV and POS equipment on their own segment too. If a guest’s phone is infected, it then has no direct path to your files.
3. Use strong WiFi encryption and a good passphrase
Use WPA2 or WPA3 and a long passphrase rather than a short word. Change it when a staff member leaves, and turn off WPS, which is a convenience feature that weakens protection.
4. Keep firmware and software updated
Updates often fix security holes that attackers already know about. Set a monthly reminder to check router, access point and computer updates, and replace equipment that no longer receives them.
5. Back up what you can’t afford to lose
Security is also about recovery. Keep regular backups of accounting data and customer records, with at least one copy stored off-site or in the cloud, so a stolen laptop or ransomware incident doesn’t stop the business.
6. Train your staff
Most breaches begin with a person clicking a fake link or sharing a password. Remind your team to check sender addresses, never share logins, and report anything suspicious straight away. Be especially careful with messages claiming to be from M-Pesa, your bank or your ISP asking for PINs or codes.
Where your ISP fits in
- A static IP can make secure remote access to your systems simpler to manage.
- A stable, no-throttle connection keeps cloud backups and updates running reliably.
- Proper structured cabling and a well-planned layout make separating networks much easier.
