A growing number of Nairobi businesses are retiring their analogue desk phones and per-minute airtime bills, and switching to VoIP — voice calls carried over the same internet connection that already runs the office. Done well, it is cheaper, easier to manage, and lets staff take the office line from anywhere. Done on a shaky connection, callers hear you break up, drop out, and turn robotic. Almost every time, the difference is the connection, not the phones.
VoIP does not need much bandwidth — it needs a steady one
A single voice call uses very little data, usually around 100 kbps in each direction with common codecs. Even ten simultaneous calls fit comfortably inside a modest package. Raw speed is rarely the problem. What matters is whether those small packets of audio arrive on time, in order, every single second of the call. A connection can post an impressive download figure on a speed test and still make a terrible phone line.
The three numbers that decide call quality
- Latency (ping) — the delay between speaking and being heard. Kept low, conversation feels natural. Once it climbs too high, people start talking over each other like it is a two-way radio.
- Jitter — the variation in how evenly packets arrive. Voice needs a smooth, regular stream; when the timing wobbles, audio turns choppy or garbled even though the speed test still looks fine.
- Packet loss — even one or two percent of lost packets produces audible gaps and clipped words. A phone call has no time to wait for anything to be sent again.

Upload capacity matters as much as download
Every call sends your voice out as well as bringing the other person’s in. On connections where upload is only a small fraction of download, a handful of calls at once — especially running alongside cloud backups, video meetings, or large file uploads — can fill the upload path and degrade every call on the line at the same time. For a business that depends on its phones, upload headroom is not a luxury.
Getting VoIP right on your network
- Put the connection first. A VoIP system is only ever as reliable as the line beneath it. A stable, consistently low-latency connection with real upload capacity is the foundation everything else sits on.
- Prioritise voice traffic. Most business routers can apply Quality of Service (QoS) rules that let call packets jump ahead of downloads and streaming, so a big file transfer does not wreck a call in progress.
- Wire the handsets where you can. Desk phones and adapters on an Ethernet cable avoid the extra jitter that WiFi can introduce, particularly in a busy office.
- Keep a fallback. If the phone system is business-critical, a backup internet connection keeps the lines open on the day the main link goes down.
